Both the new computer-friendly version and the traditional pdf-for-printing versions of theI-9 can be found on the USCIS website. USCIS notes that I-9 forms obtained from its website are not considered electronic I-9 forms under Department of Homeland Security regulations, such as forms submitted through the e-verify process, and cannot be electronically signed. Regardless of the method used to complete the new form – by hand or computer – employers must print a hard copy of the form, then sign and date the hard copy by hand where required. Employers must retain the completed Accounting For Architects I-9 forms for three (3) years from the first day of employment or one (1) year from the last day of employment, whichever is later.

Revisions to the Form I-9 instructions:

  • Employers must begin using the new Form I-9 by January 22, 2017, and should continue to follow existing storage and retention rules for all previously completed Forms I-9.
  • Employers must make available to new employees the complete instructions to Form I-9 and the Lists of Acceptable Documents.
  • Employers still have the option of printing the form and completing it by hand if they prefer.
  • New employees must then present either one document from List A or one document from List B in combination with one document from List C to their employer.

All U.S. employers are required to complete a Form I-9 for every employee hired in order to verify that the individual is authorized for employment in the United States under the Immigration Reform and Control Act of 1986 (IRCA). Beginning September 18, 2017, employers must use the new version of the Form for all new hires and for re-verifying current employees with expiring employment authorization documentation. Employers should not complete new Forms for existing bookkeeping and payroll services employees who do not require re-verification. A best practice would be for employers to begin using the new edition of the form immediately upon its release. USCIS is in the process of updating The Handbook for Employers Guidance for Completing the Form I-9 (M-274). Until it is issued, employers should follow the new Form I-9 instructions. Until then, employers will still be able to use the older version of the form with a revision date of Nov. 14, 2016; the new form’s revision date is July 17, 2017.
